JOB DESCRIPTION FOR

OFFICE ADMINISTRATOR & PARENT LIAISON

Responsible to:          Artistic Director

Remuneration: £17 per hour, 12 hours per week, 36 weeks per year (minimum)

Place of Work:            Chiltern House, Chesham office.

                                    Tuesday & Wednesday afternoons, Thursday flexible hours.

Flexible working conditions, including home working can be agreed for a proportion of the hours but a commitment to office-based working is an important part of this role.

Primary Purpose

To be the first point of contact for all Shed office/admin matters by maintaining the efficient running of the office and ensuring that day-to-day administrative duties are carried out.

 

Main Duties & Responsibilities

  • First point of contact for membership enquiries, including arranging Taster Sessions, following up and ensuring correct paperwork is completed for membership applications. Liaising with the Artistic Team regarding any specific needs of the potential new member.

  • Manage new member processes and maintain member databases.

  • Manage Workshop registers.

  • Manage all incoming and outgoing activity on the Shed general admin email, including maintaining contact lists for parents and supporters.

  • Support fundraising awareness and ticket sales administration.

  • Manage Front of House requirements for shows and events wherever possible.

  • Monitor Subscription fees for all members (in collaboration with the Financial Controller).

  • Manage communications to parents/carers/supporters as required by the team.

  • Compile marketing newsletters and articles for inclusion in local publications (eg Chesham Connect, Your Chesham magazine), Shed newsletters and targeted mailing lists (eg to local schools).

  • Occasional Tuesday/Wednesday workshop attendance to meet and liaise with parents/carers as necessary.

  • Any other administration duties as reasonably required by the Artistic Director.

Practical Administration

  • To support the development of fundraising activities for Shed.

  • To support all activities of the Artistic Director.

  • To lead the updating of Shed policies once per year.

  • To ensure the Chair of the Board receives any relevant and timely communication eg regarding donations and letters of thanks required etc.

 

Skills & competencies required

  • Excellent leadership and management skills.

  • Excellent IT skills; experience with tools such as MailChimp and Survey Monkey is preferable.

  • Expert in the use of Word and Excel and the ability to understand data and compile reports.

  • Excellent organisation skills.

  • The ability to work on your own initiative and to work to deadlines.

  • Excellent interpersonal skills.

  • Experience of, and the ability to relate to children and young people across a broad spectrum of needs.

In addition, you will be expected to comply with any reasonable request from a Board Trustee (and in agreement with the Artistic Director) to undertake work of a similar level that is not specified in this job description.
